Duties and responsibilities
Perform general secretarial and executive assistant duties in Japan office;
Basic duties of the diary management, scheduling appointments, conference calls, meetings and events, booking venues etc;
Conduct office administrative support, including procuring and maintaining office facilities, stationeries and pantry supplies;
Support colleagues by preparing documents editing and translation when necessary, manage files and customer information;
Arrange domestic and international business trips and make expense reimbursement applications;
Undertake occasional receptionist duties;
Support on Japan office opening, office renovation project, communicating with the agents and handling any applications, filings, documentations and reports required for such work;
Support HR on staff recruitment, training delivery, coaching activities in Japan office, communicating with the agents and candidates and handling any applications, filings, documentations, and reports required for such recruitment activities;
Interface with internal employees in Tokyo office and Hong Kong headquarters regarding general affairs.
Bachelor’s degree or above;
Solid knowledge of secretarial duties and administrative procedures;
Relevant experience in overall General Affairs including HR is preferred;
Good interpersonal and communication skills;
Fluent English and native Japanese is a must.
